Reports
Vault Rooms provides a variety of reports to help you find the information you need. While most of our reports are only available to admins, some are available to users as well. To access the reports, click Reports in the left-hand menu.
Account administrators have the option to run the audit reports for all data rooms/"All Account Activity", or for a specific data room using the drop-down room selector.
Room administrators can only run reports for their assigned data rooms.
All of the Audit Reports include customization options:
- a date selector which defaults to the current date
- a refresh button
- an export (to excel) button
- a customize button
Audit Reports also have their own set of customizable column options. To add or remove a column of information, check or uncheck the box as it applies. The selections are saved as a cookie in the browser, this allows the report to display the same every time.
Here is a list of our reports and a description of what information they provide:
Files Clicked Report
- This is a historical report of all files accessed within the vault. It shows;
- the date and time a file was accessed
- the name of the user who accessed the file
- the IP address of the user who accessed the file.
- There are also customizations available that will change the columns that appear on the report on the screen and in the exported version. Review the customization options above.
File History Report
- This is a historical report of all file activity within the vault. It shows;
- the date and time a file was created/uploaded
- the date and time a file was modified/deleted
- the name of the user who last modified the file
- There are also customizations available that will change the columns that appear on the report on the screen and in the exported version. Review the customization options above.
Communication History Report
- This is a historical report of all communications sent from the vault. It shows;
- the date and time login information emails, password reset emails, room update emails, task summary emails, archive emails, and zip upload emails are sent
- the user the emails were sent to
- the user the emails were requested by
- There are also customizations available that will change the columns that appear on the report on the screen and in the exported version. Review the customization options above.
Login History Report
- This is a historical report of all user access within the vault. It shows;
- the date and time a user logins into the vault
- what data rooms the user accesses
- the IP address of the user accessing the vault
- There are also customizations available that will change the columns that appear on the report on the screen and in the exported version. Review the customization options above.
User List
- This is an exportable list of all current users in the account. It shows;
- all rooms assigned to each user
- the users' security in each assigned room
- contact information the has been added
All Rooms List
- This is an exportable list of all current data rooms in the account. It shows;
- the start date of the data room
- the current storage
- the number of users
- the number of files
Folder Description List
- This is an exportable list of all current folders and the descriptions.
File Listing
- This is an exportable list of all files the viewing user has access to
- For admins, this report will include the security settings of each file
File Listing Tree
- This is a printable pdf version of all files the viewing users has access to
- For admins, this listing will include the security setting of each file
Tasks
- This is a historical report of all task activities. It shows;
- all tasks and who they are assigned to
- the status of the tasks
- when the tasks were completed
- all comments made on tasks
Task Summary
- This is a summary of all assigned tasks. It shows;
- total tasks assigned
- total tasks completed
- the percent of total tasks complete
