Uploading Files

Uploading files to the data room is easy with our upload wizard.

To upload single or multiple files you must first select a folder in the tree and drag and drop files onto the file pane or click Upload.

In the upload window, files that were dropped will automatically be added for upload processing. Additional files, and even whole folders, can be added to the upload window by selecting "+ Add Files" or dragging and dropping folders and/or files to the upload window.
Note: empty folders will not be added.

Once all desired folders and files have been added to the upload window, click "Next Step."

On the Settings tab, specify the Document Settings that will apply to all files in this upload session.

  • Document Overrides affect how a specific document(s) is presented in the Document Viewer. For more information on Document Overrides, click here.
  • Ignore Duplicates? and Overwrite file if exists?-
    A value of "Yes" in the "Ignore Duplicate" field will cause the upload session to ignore any folder/files that have been previously uploaded to the data room with the same name and file size. A value of "No" in the "Ignore Duplicate" field will cause the upload session to upload identified duplicates. If duplicates are not ignored, then the value in the "Overwrite file if exists" field will determine whether or not the existing file will be replaced or the new file will be appended with a number.

Click Next Step.

If a Document Tag tab is displayed, you have document tags turned on.

On the Summary Tab, review the security parameters for all files in the current upload session.

  • If these are not correct click "Previous" to go back and make the needed updates.
  • If the parameters are correct, decide whether to send out email notifications to users with email notifications turned on upon completion.
    Note: Email notifications can also be scheduled.

The confirmation will list files successfully uploaded, and in rare cases, any files that may have failed to upload. You can close the window and verify your files have been added to the data room.

Note: The Folder and File name fields within the Vault Rooms application are not restrictive in length to allow for greatest flexibility. However, the length should be taken into consideration if an archive of the data room will be desired at the end of the transaction or project. Windows is limited in the path length for folder/file names to 255 characters. The depth of your folder structure should influence the length of your folder and file names.
